General Information & Guidelines for Virtual Events

The Virtual Student Convention will follow the guidelines for International Student Conventions to ensure the uniformity of the convention and equality in competition for all participants.

 

 

There are a few exceptions listed below:

(1) After registration deadline any school that registered for any virtual event, will be emailed a detailed handbook on how to upload their students’ events in their school portal.

(2) Only one copy will be required for all written entries, outlines, and scripts. These items will be uploaded digitally to your school’s portal, preferably in the PDF format.

(3) All copies must have the student’s name, school name, address & school telephone number. Sheet music can be photographed and needs to include the student’s name, school name, address & telephone number on the photograph.

(4) NO judges’ forms will be needed, and judges’ forms will not be returned to the schools.

(5) Color Guard /Flag Corps Division: Individual inspection will be adhered to in a virtual format.

a. Video each participant and group as if you were a judge for inspection.

b. Upload all the paperwork, photos and video to your school’s portal. You will not need any judges’ forms.

(6) In Music & Platform events the emphasis will not be on memorization because a person can be videoed multiple times and then only the best video uploaded.

a. You won’t need a photo of the student performing his event because the participant will be in the video.

b. Make sure you list the name(s) of the students in each event.

c. Upload all the paperwork, and video to your school’s portal. You will not need any judges’ forms.

d. Multiple screens are not necessary. The quality of the video is not part of the judging process.

(7) For Science/Social Studies Projects:

a. Follow the ACE guidelines in preparing and displaying the projects.

b. When videoing the student’s project, have the student stand by the display.

c. Have the student give a short explanation of the project.

d. The student may also demonstrate projects such as engineering or research experiments to further clarify.

e. Upload all the paperwork, photos and video to your school’s portal. You will not need any judges’ forms.

(8) For the woodworking project:

a. Follow the ACE guidelines in preparing and displaying the project

b. Take photos in stages of the project until it is completed

c. When videoing the student’s project, have the student stand by the display.

d. Zoom in on videoing the project and video completely around the project.

e. Upload all the paperwork, photos and video to your school’s portal. You will not need any judges’ forms.

(9) Each school can have as many people upload the students’ events as they would like. However, if you choose to have multiple people to do the uploading, they will not be able to see what the other person has uploaded. Therefore, we recommend only one person do all the uploading for their school. After each early entry has been uploaded, it will be viewed by the convention staff to see if it meets the ACE convention guidelines. The school will be notified by email if the entry has been accepted or rejected. If the entry is accepted, then the school has completed the uploading process for that entry. If the entry is rejected, the school will be notified by email stating the reason(s) for the rejection. The school then can make the necessary adjustments and upload the entry again, provided the deadline has not passed to upload. A school can upload the same entry multiple times, but only the last upload will be viewed. Once the deadline for uploading has passed, then there can be no changes to any entry and only the approved entries will be judged.

(10) After the Awards’ Program A.C.E. will email every school a winners list and the awards their students won.
